Whitemoor House B&B – Terms and Conditions

Thank you for choosing to book with Whitemoor House. We look forward to welcoming you. When you make this booking you are entering an agreement with us. Please read our terms and conditions of booking below.

PRICE AND PAYMENT:

The price includes accommodation and a cooked breakfast. There is free wifi in all bedrooms and public areas. Very rarely it may be unavailable due to factors beyond our control. All extras such as telephone, drinks etc are additional.

We accept the following forms of payment: Online secure card payment, cash, cheque or bank transfer. We do not have a card terminal, so card details must be entered online when booking or at the property upon arrival.

Deposits are not generally required, apart from more extensive bookings. Guests would be advised of this upon confirmation of their reservation.

CANCELLATION AND INSURANCE:

Once you have booked your stay, our agreement is a legal contract and any deposit you may have paid is non-refundable. If you need to cancel please contact us immediately. For cancellations made at least one complete day before your arrival day you will not be liable for any payment. For cancellations made after this time you will be charged for the first night. By failing to take up the booking without cancelling you will be liable for the total amount, unless we can fill the room at short notice. For this reason you may wish to take out cancellation insurance, which is inexpensive and can be obtained from any good broker.

NON-AVAILABILITY:

We would only cancel your booking if your accommodation was unavailable for reasons beyond our control. We would assist you in trying to find alternative accommodation and would refund any deposit paid by you. Our liability would not extend beyond this refund.

ARRIVAL AND DEPARTURE TIMES:

You can check in to your accommodation between 16.00 and 19.30 hours unless you have arranged otherwise with us. It would be helpful if you are able to give us an estimated time of arrival beforehand, so that we can ensure that we are at home to welcome you.
Please be ready to leave your accommodation by 10.30am on the day of departure, unless otherwise arranged. It may be possible to leave your bags with us for you to collect later.

CHILDREN:

Children aged 12 years or over are welcome.

PETS:

Pets are not permitted.

SINGLE OCCUPANCY:

We can normally only offer two rooms for single occupancy during peak times, one of these being a single room with a 4 foot bed in the eaves. Headroom in this room is restricted and wouldn’t be suitable for anybody over 6 feet tall.

PARKING:

We have enough private off-road parking for one car per room. We cannot guarantee to have enough space for vans or for extra cars. We also cannot guarantee a parking space for the single room. There is ample parking in the lay-by just along the road or else in a quiet residential road approximately 200 yards away.

TAKEAWAY FOOD:

We regret that we cannot allow takeaway meals to be consumed in guest bedrooms, but are very happy, upon request, to lay up a table for you in the dining room.

UNSOCIAL BEHAVIOUR:

We would ask that any noise is kept to an absolute minimum between 11pm and 7.30am.
The comfort and enjoyment of our guests is of great importance to us and we reserve the right to ask guests to cease any unacceptable behaviour. In severe cases, guests may be asked to leave the premises.

DAMAGES AND BREAKAGES:

Please take care with our accommodation. You are responsible and liable for any breakages or damages which you cause to the accommodation or its contents. Please report these as soon as they occur. We do not normally charge for minor breakages, but we may send you an invoice for repair or making good if the damage or breakage is significant, and we may make an additional charge if you did not report this.

SECURITY:

For the safety of yourself and other guests, we ask that you ensure that all exterior doors are locked behind you, as you would in your own home. A charge of £20 would be made for the loss of your keys.

LIABILITY:

We do not accept any liability for any damage, loss or injury to any member of your party or any vehicles or possessions, unless proven to be caused by a negligent act by ourselves or our employees or contractors whilst acting in the course of employment.

DATA:

Any data gathered during the course of this booking may be held on computer, but not shared with any third parties. All data is stored securely within the terms of the General Data Protection Act. Please see our Privacy Policy for further information.

COVID-19 Terms and Conditions:

Pre-Arrival:

Please do not travel to us if you, or any of your contacts, have any symptoms of Coronavirus or have been advised to self-isolate by the Test and Trace scheme. You can cancel for free up to a full day before arrival, after that you would be required to pay the first night’s charge. It may be possible to use this payment against the first night of a later, rearranged stay – subject to availability.

During your stay:

If you develop symptoms during your stay, we would follow Government Guidelines. Currently these are that we politely request that you remain in your room and phone us on 02380 283043 to let us know. You would then be asked to return home immediately, if at all possible. We would not be able to reimburse you for any unused nights of your reservation. In the event that it proves impossible to leave the premises, we would have to contact Health Care Professionals for advice and you and your partner may need to self isolate in your room for 14 days, which you would need to pay for. We would provide room service for breakfast and support you in bringing other supplies to your door e.g. food, drinks, takeaways etc. The room will be left empty for 72 hours after your departure, before deep-cleaning it.

If we have to Self-Isolate:

In the event that we have to self-isolate, we shall inform you immediately and will not make any charge for nights that you have not been able to stay with us. If we can, we will do our best to help you find somewhere else to stay, but we are not able to offer any financial compensation to yourself for the loss of your booking.

After your stay:

We really hope you return home healthy, but if you do develop Coronavirus following your visit to the New Forest, we cannot accept responsibility and do not accept any financial or other liability in this circumstance. It is our top priority to keep you as safe as possible and we will be complying fully with the Government COVID Secure Charter.
